Tuition Reimbursement


A limited amount of money shall be budgeted annually for tuition reimbursement. The purpose of such reimbursement shall be to make specific areas of expertise available to the Library District: as such, undergraduate courses of a generalist nature will normally be excluded from any reimbursement program. Employees may be reimbursed for courses which directly relate to their position, if funds are available.

Application for this reimbursement program must be submitted to the Human Resources Manager and be approved by the Director.

Reimbursement:

Reimbursement will be set at the greater amount of:

$225 per semester or $150 per quarter hour of fees and tuition, the amount not to exceed actual costs;

or

70% of fees and tuition charges, whichever is greater.

Activity fees will be reimbursed only if the institution requires that such fees be paid as a condition of enrollment.

75% of required textbook purchase costs shall also be reimbursed.

Payment:

Half of the normal reimbursement for a course will be advanced at the time of registration; the remaining 50% will be paid upon satisfactory completion of the course.

Satisfactory completion will be defined as a grade of "C" or better, or satisfactory for an undergraduate course, or a grade of "B" or better for a graduate level course.

If the student drops the course and a refund is received, the entire advancement given by the District must be returned if the amount of the refund is greater than the advancement; if the refund is less than the advancement given by the District, the entire refund must be given to the District.

The employee must remain in the employ of the St. Charles City-County Library District for a period of one year following completion of the course. If the employee leaves employment with the District during the first six months following completion of the course, the employee will repay to the District the full amount of funds reimbursed for tuition, fees, books etc. If the employee leaves employment with the District after six months but prior to one year, the employee shall repay to the District 50% of the funds reimbursed. Reimbursement shall not be required if employment is terminated due to reduction in force in accordance with policies 544.1 and 544.2.

This schedule of reimbursements shall apply to all courses taken after July 1, 2005.
